Live events are high-pressure environments.<\/p>\n

That isn\u2019t necessarily a bad thing. It\u2019s part of what makes the industry exciting. There\u2019s a fixed start time, an audience waiting, speakers arriving, content changing and dozens of different suppliers all working towards the same moment.<\/p>\n

But it does mean the people you surround yourself with matter enormously.<\/p>\n

At Present Communications, that\u2019s something we take very seriously.<\/p>\n

<\/p>\n

We can provide the cameras, microphones, screens, lighting, connectivity and broadcast infrastructure, but ultimately all of that equipment is only as good as the people operating it.<\/p>\n

And when you\u2019re delivering something live, you need people who are technically excellent, who understand their role, who can think clearly and, importantly, who stay calm.<\/p>\n

Calm is part of being competent<\/strong><\/p>\n

I think there\u2019s sometimes an assumption that being calm means nothing particularly difficult is happening.<\/p>\n

Usually it\u2019s the opposite.<\/p>\n

A good production team can have a lot going on behind the scenes without transferring any of that pressure to the client.<\/p>\n

That matters.<\/p>\n

The event organiser has enough to think about already. They\u2019ve got delegates arriving, speakers to look after, sponsors, timings, catering, content and probably a senior stakeholder asking a question at exactly the wrong moment.<\/p>\n

They shouldn\u2019t also need to worry about whether the microphones are going to work or whether the livestream is healthy.<\/p>\n

Our job is to take responsibility for that.<\/p>\n

If something needs dealing with, we deal with it.<\/p>\n

If a decision needs making, the right person makes it.<\/p>\n

If the event changes, we adapt.<\/p>\n

And ideally the client barely notices.<\/p>\n

The team matters more than the equipment<\/strong><\/p>\n

\"Present\"Present<\/figure>\n

I love technology. We spend a lot of money on good equipment and we\u2019re constantly looking at new ways of doing things.<\/p>\n

But I\u2019d take an excellent technician with familiar, proven equipment over somebody inexperienced with the newest piece of kit every time.<\/p>\n

Experience gives people judgement.<\/p>\n

They know what actually matters.<\/p>\n

They recognise when something needs attention and when it doesn\u2019t.<\/p>\n

They know how to communicate with a nervous presenter five minutes before they walk on stage.<\/p>\n

They know when to speak up and when to quietly get on with the job.<\/p>\n

And they understand that, particularly at a corporate event, technical competence is only part of the service.<\/p>\n

The crew are representing us in front of the client. They need to be professional, approachable and pleasant to work with.<\/p>\n

Nobody wants brilliant technology delivered by people who make the day harder.<\/p>\n

Preparation creates confidence<\/strong><\/p>\n

Being calm on site isn\u2019t about hoping everything goes well.<\/p>\n

It comes from preparation.<\/a><\/p>\n

Understanding the brief properly.<\/p>\n

Knowing the venue.<\/p>\n

Planning the system.<\/p>\n

Testing the equipment.<\/p>\n

Briefing the team.<\/p>\n

Making sure everybody understands what they\u2019re responsible for.<\/p>\n

Thinking about the audience in the room, the people joining remotely and what the client is actually trying to achieve.<\/p>\n

We describe our approach at Present as reliable, resilient and trusted<\/strong>, and for me those three things are closely connected.<\/p>\n

Reliable means the system does what it\u2019s supposed to do.<\/p>\n

Resilient means it has been designed properly for the importance of the event.<\/p>\n

Trusted means the client knows they don\u2019t need to spend their day checking either of those things.<\/p>\n

That trust is earned over time.<\/p>\n

Good suppliers make the organiser\u2019s job easier<\/strong><\/p>\n

The best supplier relationships become very simple.<\/p>\n

The organiser explains what they\u2019re trying to achieve.<\/p>\n

We take ownership of our part of it.<\/p>\n

Of course there are conversations, questions and decisions along the way. Collaboration is important.<\/p>\n

But ultimately our job is to remove work from the organiser rather than create more of it.<\/p>\n

I think that\u2019s particularly important as events become more technically complicated.<\/p>\n

A relatively traditional conference might now include an audience in the room, remote presenters, livestreaming, live captions, simultaneous interpretation, recorded content, social media outputs and resilient internet connectivity.<\/p>\n

The organiser shouldn\u2019t have to become an expert in all of those things.<\/p>\n

That\u2019s why they have us.<\/p>\n

Getting the job done<\/strong><\/p>\n

The title \u201cSuperhero Suppliers\u201d makes me smile slightly because the best production teams rarely look particularly heroic.<\/p>\n

There shouldn\u2019t be people running around backstage dramatically saving the event every five minutes.<\/p>\n

Usually good production looks remarkably uneventful.<\/p>\n

People know what they\u2019re doing.<\/p>\n

The technology works.<\/p>\n

The team communicates.<\/p>\n

The client feels looked after.<\/p>\n

The speakers feel comfortable.<\/p>\n

And the audience gets to concentrate on the content rather than the production behind it.<\/p>\n

There may have been a huge amount of expertise, preparation and decision-making involved in creating that experience.<\/p>\n

But the end result should feel simple.<\/p>\n

For me, that\u2019s what getting the job done really means.<\/p>\n

Not creating drama.<\/p>\n

Not showing everyone how clever the technology is.<\/p>\n

Just having a highly capable team<\/a>, delivering excellent work, staying calm when the pressure is on and giving the organiser the confidence to concentrate on their event.<\/p>\n

That\u2019s the standard we try to deliver every time<\/p>\n
