Agendas keep expanding. And attendees are expected to absorb more information than ever. Against that backdrop, six guests on Season 11 of the <em>Convene<\/em> Podcast returned to a common thread: that the industry\u2019s real constraint may not be technology or content, but human capacity \u2014 how much attention, energy, and bandwidth a person actually has to give.<\/p>\n<p>Their evidence is what many planners already see on the ground: attendees who leave events overwhelmed, distracted, and exhausted, no matter how polished the program. Across six conversations, wellness experts, researchers, authors, and strategists kept circling the same question \u2014 not how to add more to an event, but how to help people get more from it.<\/p>\n<h2><strong>Are We Designing Events for Humans or Schedules?<\/strong><\/h2>\n<p>For many planners, wellness has felt like an addition \u2014 another activity, another session, another space bolted onto the agenda. David T. Stevens, a wellness architect and co-founder of Olympian Meeting, challenged that framing directly: \u201cWellness really isn\u2019t a cost; it is a performance strategy,\u201d he said. Stevens pointed to measurable outcomes \u2014 longer dwell time at sponsor booths, higher information retention, and fewer postconference drop-offs \u2014 as the business case for designing around energy rather than cost.<\/p>\n<p>Kelly-Jean Moore, founder of Sarayana Yoga, made a related but distinct point: that the fix isn\u2019t necessarily a dedicated wellness offering at all. \u201cYou could do that through the skillful use of wellness integration that\u2019s woven through the programming, versus just having some slick, trendy event,\u201d she said, warning that novelty-driven add-ons tend to serve \u201ca small, loud portion of people\u201d while leaving everyone else without usable tools.<\/p>\n<p>Researcher and <em>Wall Street Journal<\/em> bestselling author Laura Gassner Otting reframed the underlying problem as one of alignment, not workload. \u201cIt\u2019s not that we\u2019re doing too much work,\u201d she said. \u201cIt\u2019s that we\u2019re doing too much of the work that doesn\u2019t actually matter to us.\u201d Between Stevens, Moore, and Gassner Otting, a pattern emerges: three different entry points \u2014 physiology, programming, and purpose \u2014 arriving at the same conclusion. Wellness isn\u2019t a perk layered onto an event. It\u2019s a condition for whether the event works at all.<\/p>\n<h2><strong>What Attention Reveals About Event Design<\/strong><\/h2>\n<p>If energy is finite, so is attention \u2014 and creativity strategist Natalie Nixon, CEO of Figure 8 Thinking, has a useful corrective for what depletes it. Citing a framework from Brendan Boyle, a toy designer who teaches a course on play at Stanford\u2019s d.school, Nixon said the common assumption is wrong: \u201cA lot of the times we think that the opposite of play is boredom. But he said that really the opposite of play is when we are disengaged.\u201d Applied to events, that shifts the diagnosis. An unresponsive room isn\u2019t necessarily bored \u2014 it may simply be past capacity.<\/p>\n<p>Yush Sztalkoper, CMP, founder of NeuroSpark+ and creator of Human Capacity Design, arrived at a similar idea from a different direction. She said many of the engagement problems planners diagnose as motivation issues are something else entirely: \u201cWhat we often call engagement or motivation is sometimes just a reflection of whether people have the capacity to receive what\u2019s being asked of them.\u201d<\/p>\n<p>Asked whether rising information density and AI adoption put events at risk of exceeding that capacity, Sztalkoper didn\u2019t hedge: \u201cWe\u2019re not at risk of this. It\u2019s already happening,\u201d she said, describing it as a present condition rather than a future one to plan around.<\/p>\n<p>The implication, in both cases, isn\u2019t that planners need to fit more into the agenda more efficiently \u2014 it\u2019s that the agenda may already be asking more than attendees can process. As Sztalkoper put it, the real measure of success isn\u2019t how long someone stays engaged in the room: \u201cThe goal isn\u2019t just making people stay longer or engage more in that moment. It\u2019s whether anything actually stays with them that they carry with them outside of the event, after the event.\u201d<\/p>\n<h2><strong>Whose Responsibility Is Wellness?<\/strong><\/h2>\n<p>One of the season\u2019s clearest shifts moved the conversation past individual well-being and toward organizational design. \u201cCapacity is no longer a variable. It\u2019s the constraint,\u201d Sztalkoper said, arguing that events built without accounting for it \u201cwon\u2019t fully translate into value,\u201d regardless of content quality.<\/p>\n<p>Angelika Bazarnik, founder of BanquetConsulting.com, reached a parallel conclusion through her Ph.D. research on planner stress. She\u2019s careful to define the term precisely: \u201cWellness in our industry is operational stability,\u201d she said \u2014 meaning the ability to move from event to event \u201cwithout questioning why I chose this profession in the first place.\u201d Later in the conversation, Bazarnik extended that argument beyond individual planners to the systems around them, telling me the pattern she\u2019s documented in vendor and venue relationships \u201cis not just a planner issue; it\u2019s a structural issue within the industry.\u201d<\/p>\n<p>Otting\u2019s framing of burnout supports the same conclusion from the individual side: when the mismatch is between what people are asked to do and what actually matters to them, no amount of personal wellness practice resolves it \u2014 the fix has to happen upstream, in how the work and the event itself are designed.<\/p>\n<p>Taken together, the season\u2019s guests are making a specific claim, not a general one: that designing for human capacity is an organizational responsibility, not an individual coping strategy. Event professionals already spend enormous energy on stages, schedules, speakers, and formats.
