Safety and security aren\u2019t new to the events industry but the level of awareness and expectation around them continues to rise. Regardless of the event you are planning, safety is about more than a checklist, it is a part of hospitality.\u00a0<\/p>\n

In a recent conversation, we spoke with Liz Lathan<\/a>, Founder of Club Ichi<\/a>, about a resource that she developed\u2014A Practical Safety Playbook for Event Professional Hosting Events in U.S. Cities<\/em><\/a>. This guide can help planners proactively think through safety leading up to their event. One theme stood out clearly:<\/p>\n

Preparedness builds confidence.<\/em><\/p>\n

Here are three ways to build safety into your planning process whether you are planning a nonprofit gala, corporate conference, or social gathering.\u00a0<\/p>\n

1. Clarify your Decision Makers\u00a0<\/strong><\/h2>\n

In any emergency, whether it is a medical situation, operational disruption, or security concern, someone needs to be empowered to make a decision.<\/p>\n

One of the most important questions to ask is:<\/p>\n

Who is the on-site decision maker?<\/em><\/p>\n

That applies to: The venue, your event planning team, and any additional vendors involved.\u00a0<\/p>\n

\u201cHave the answers,\u201d Liz shared. \u201cAnd then walk through them in your pre-con meeting. Don\u2019t just say, \u2018It\u2019s in the event bible.\u2019 Turn to the page and review it together.\u201d<\/p>\n

Clarity helps prevent confusion under stress. It also allows the rest of the team to focus on their responsibilities rather than scrambling for direction.<\/p>\n

Even if you never need to activate that chain of command, simply defining it strengthens confidence for your team.<\/p>\n

2. Communicate Calmly and Transparently<\/strong><\/h2>\n

One of the most powerful lines from Liz\u2019s Safety Playbook is this:<\/p>\n

Silence creates more fear than transparency.<\/em><\/p>\n

That doesn\u2019t mean alarming attendees. It means acknowledging concerns in a steady, professional way.<\/p>\n

\u201cIt\u2019s not something that needs to be blasted on social media,\u201d Liz explained. \u201cIt\u2019s simply part of your normal attendee communication stream.\u201d<\/p>\n
