The Division Manager looked at me balefully. \u00a0\u201cDon\u2019t ask me why we didn\u2019t meet the budget. Those budget numbers aren\u2019t mine. \u00a0They\u2019re way too high. \u00a0I never agreed to that.\u201d\u00a0 He had a case of the\u00a0 budgeting blues.<\/p>\n
If you are a financial analyst, that quote might be very familiar to you. \u00a0It should be so simple, right? \u00a0The division budgeted $X million in sales. \u00a0The year is half over, so they should have reached 50% of $X million, but they\u2019re actually less than that. \u00a0All you want is a reasonable explanation. \u00a0Instead, you get an argument about the budget.<\/p>\n
Sometimes, it\u2019s a stalling tactic, but sometimes the person really doesn\u2019t remember or doesn\u2019t know where the budget numbers came from. \u00a0Budgeting is more of an art than a science. \u00a0In theory it\u2019s easy:\u00a0Every division does some crystal ball gazing and submits their best forecast for the coming year. \u00a0The numbers are assembled for the whole company and after a negotiation about who gets what share of the available resources, the budget is set.<\/p>\n
In reality, it can get a lot more complicated. \u00a0The negotiations can go back and forth. \u00a0Numbers get adjusted. \u00a0To understand the final number, you have to understand the history. \u00a0The problem with spreadsheets is that when you change a cell, whatever was there before is lost. \u00a0So, there may be nothing to indicate that the final sales number was increased due to a sales promotion that actually never happened.<\/p>\n
Some budgeting systems solve this by allowing you to enter a series of budget adjustments instead of changing the cells directly, but if you\u2019re like most of us (i.e. still using Excel spreadsheets), having a\u00a0system\u00a0that locks in previous versions of a spreadsheet can save you a lot of hassle later. \u00a0If you have locked-in versions of the budget, not only will you understand what\u2019s in the numbers, you\u2019ll be able to prove it.<\/p>\n
