After a call ends, your AI notetaker (I use Fireflies) produces a transcript + action items.<\/p>\n<\/li>\n
The agent distills those into a clean, structured agenda for the follow-up meeting.<\/p>\n<\/li>\n
It searches your calendar for the next meeting in the series (same attendees and same\/similar title).<\/p>\n<\/li>\n
If it finds one, it appends the agenda to the event description\u2014doesn\u2019t overwrite your Zoom link.<\/p>\n<\/li>\n
If there\u2019s no next meeting, it emails you the agenda + attendee list and reminds you to schedule it. <\/p>\n<\/li>\n<\/ol>\n
Click \u201cUse this template.\u201d<\/strong> Set the trigger.<\/strong> Paste your email(s) into the Instructions.<\/strong> Limit calendar access (control is good).<\/strong> Lock down edits.<\/strong> Keep emails safe.<\/strong> Test once.<\/strong> Notetaker alternatives:<\/strong> Otter, Avoma, Fathom, Zoom AI Companion, Microsoft Copilot, etc. Swap the trigger and keep the same logic. For best results, include speaker names<\/strong> in the transcript.<\/p>\n<\/li>\n Not on Google Calendar?<\/strong> Add the Microsoft 365\/Outlook tools and map the equivalent fields. The logic is identical; parameters differ by provider.<\/p>\n<\/li>\n Agenda format:<\/strong> Want headers like \u201cDecisions,\u201d \u201cOpen Questions,\u201d \u201cAction Items (Owner \u2192 Due Date)\u201d? Spell that out in Step 2 of the instructions. <\/p>\n<\/li>\n Email copy:<\/strong> Tweak the subject lines and body text in the instructions so the confirmation\/reminder reads exactly as you want it to.<\/p>\n<\/li>\n<\/ul>\n
Connect: your notetaker app (e.g., Fireflies\/Otter\/Avoma\/Zoom AI), Google Calendar, and Email by Zapier.<\/p>\n<\/li>\n
In the template, I use \u201cFireflies: New Meeting.\u201d<\/strong> Include speaker names and set the notes in\u00a0plain text format. (Different notetaker? Just swap in its \u201cnew transcript\u201d trigger.) <\/p>\n<\/li>\n
Under Step 3 of the instructions, replace my addresses with yours so the agent knows which calendars to search.<\/p>\n<\/li>\n
In the \u201cFind Multiple Events\u201d and \u201cUpdate Event\u201d tools, restrict the agent to only the calendars it should touch.<\/p>\n<\/li>\n
Allow the agent to modify Description only. Do not allow changes to title, time, or location. <\/p>\n<\/li>\n
In \u201cEmail by Zapier: Send Outbound Email,\u201d hard-code the To: field to your address so the agent only emails you. <\/p>\n<\/li>\n
