We strongly recommend monthly as it\u2019s a true cost of the business and it&#8217;s needed to show the true profit or loss each month. Plus, a monthly entry avoids major adjustments at the end of the year just to get a tax return done.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<p>For example, let\u2019s say you own a lawn care business and you decide to purchase a new truck for $50,000. At first glance, you might think of this as just another business expense, like buying fuel or supplies. But in accounting, there\u2019s an important distinction between purchases you should expense and purchases you should capitalize &#8211; and this truck falls into the latter category.<\/p>\n<p>Because the truck will be used in your business for more than one year, and it plays a direct role in your operations (hauling equipment, transporting crews, etc.), it qualifies as a <strong>fixed asset<\/strong>. Fixed assets are long-term investments that help your business generate income over time.<\/p>\n<p>Instead of deducting the entire $50,000 cost in the year you buy the truck, your accountant will <strong>capitalize<\/strong> the purchase. This means the cost is recorded as an asset on your balance sheet, and the expense is spread out over the truck\u2019s useful life &#8211; the number of years you expect to use it.<\/p>\n<p>If you estimate that the truck will last 10 years, you\u2019d record $5,000 in depreciation expense each year ($50,000 \u00f7 10 years). This gradual write-off matches the cost of the truck to the income it helps your business earn each year.<\/p>\n<p>So, instead of your books showing a huge $50,000 hit to profits in one year, capitalization allows you to reflect the truck\u2019s value and cost more accurately over time.<\/p>\n<p>To contrast: if you spent $500 on fuel or $1,000 on new tires, those would be regular <strong>expenses<\/strong>, not capitalized, because they\u2019re short-term costs that don\u2019t provide long-term value.<\/p>\n<p><a id=\"write-a-capitalization-policy\" data-hs-anchor=\"true\"\/><\/p>\n<h2 style=\"font-weight: bold;\">Documenting Your Position<\/h2>\n<p>Once you finalize your capitalization plan, it\u2019s time to get it on paper.
