{"id":286917,"date":"2025-06-11T01:03:45","date_gmt":"2025-06-11T01:03:45","guid":{"rendered":"https:\/\/peraltafinancing.com\/analytics\/the-user-experience-of-meeting-software-2025-measuringu\/"},"modified":"2025-06-11T01:03:45","modified_gmt":"2025-06-11T01:03:45","slug":"the-user-experience-of-meeting-software-2025-measuringu","status":"publish","type":"post","link":"https:\/\/fivemor.com\/?p=286917","title":{"rendered":"The User Experience of Meeting Software (2025) \u2013 MeasuringU"},"content":{"rendered":"<p> <br \/>\n<\/p>\n<div>\n<p><a href=\"https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage.png\"><img fetchpriority=\"high\" decoding=\"async\" class=\"alignleft wp-image-44625 size-medium\" src=\"https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage-300x169.png\" alt=\"Feature image showing a person looking at a laptop screen displaying a video conference\" width=\"300\" height=\"169\" srcset=\"https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage-300x169.png 300w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage-1024x576.png 1024w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage-768x432.png 768w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage-1536x864.png 1536w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage-600x338.png 600w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/061025-FeatureImage.png 2000w\" sizes=\"(max-width: 300px) 100vw, 300px\"\/><\/a>In the movie <em>2001: A Space Odyssey<\/em> (made in 1968), a vision of the future included video conferencing.<\/p>\n<p>And 1989\u2019s <em>Back to the Future<\/em>\u2019s vision of 2015 included not only video conferencing but also getting fired over it.<\/p>\n<p>While we may scoff at how hoverboards and <a href=\"https:\/\/www.yahoo.com\/tech\/transportation\/articles\/1m-flying-car-reach-speeds-183806363.html\">flying cars<\/a> still haven\u2019t arrived, it\u2019s now normal for impactful professional and personal conversations to happen on video conferencing.<\/p>\n<p>Now we\u2019re not talking about whether we <em>can<\/em> have meetings over video conferences, but instead, the discussions are about platform usability and the usefulness of the latest features.<\/p>\n<p>This is our third time benchmarking meeting software in five years, including during the COVID pandemic when the explosion of online meeting software popularity made \u201cZoom\u201d a verb.<\/p>\n<p>In this article, we present some key findings from our 2025 investigation of the UX of meeting software. For more details, see <a href=\"https:\/\/measuringu.com\/product\/meeting-software-2025\/\">the full report<\/a>.<\/p>\n<p>In January and February 2025, we conducted a retrospective study with 233 U.S.-based panel participants. This study included metrics from our standard UX and NPS survey.<\/p>\n<p>About two-thirds (63%) were female, and the cohort tended to be younger, with 70% under 45. Participants were asked to reflect on their most recent experiences with the software and answer a number of items, including the <a href=\"https:\/\/measuringu.com\/nps-ux\/\">NPS<\/a>, <a href=\"https:\/\/measuringu.com\/10-things-sus\/\">SUS<\/a>, <a href=\"https:\/\/measuringu.com\/from-umux-lite-to-ux-lite\/\">UX-Lite<\/a><sup>\u00ae<\/sup>, and <a href=\"https:\/\/measuringu.com\/how-to-use-the-tac\/\">TAC-10<\/a>\u2122. The products and sample sizes were:<\/p>\n<ul>\n<li>Google Meet: 49<\/li>\n<li>GoToMeeting: 41<\/li>\n<li>Microsoft Teams: 50<\/li>\n<li>WebEx: 39<\/li>\n<li>Zoom: 54<\/li>\n<\/ul>\n<h2>Loyalty (NPS and PMF)<\/h2>\n<p>The NPS is a popular loyalty metric. It\u2019s calculated using an eleven-point (0 to 10) likelihood-to-recommend (LTR) question, computed by subtracting the percentage of detractors (0\u20136) from promoters (9\u201310).<\/p>\n<p>Figure 1 shows the current NPS for the five meeting software products.<\/p>\n<p><a href=\"https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-44646 size-large\" src=\"https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1-1024x505.png\" alt=\"NPS with 95% confidence intervals.\" width=\"1024\" height=\"505\" srcset=\"https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1-1024x505.png 1024w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1-300x148.png 300w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1-768x379.png 768w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1-1536x757.png 1536w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1-600x296.png 600w, https:\/\/measuringu.com\/wp-content\/uploads\/2025\/06\/Figure1-1.png 1617w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\"\/><\/a><\/p>\n<p class=\"wp-caption-text\" style=\"text-align: left\"><strong>Figure 1:<\/strong> NPS with 95% confidence intervals.<\/p>\n<p>This was the first time we collected data for Google Meet, which had the highest NPS, and Microsoft Teams, which had the lowest. The only significant difference among the products was the that NPS for Google Meet was significantly higher than the NPS for Microsoft Teams (based on inspection of the confidence intervals). The NPS for all the products we measured in 2022 were higher in 2025, with Zoom rising 10 points from 7 to 17%, WebEx increasing 23 points from \u221236 to \u221213%, and GoToMeeting rising 34 points from \u221232 to 2%.<\/p>\n<h2>Perceived Usability (SUS)<\/h2>\n<p>We used the popular System Usability Scale (SUS) to compute the perceived usability of the five products (Figure 2). The SUS is a ten-item questionnaire with possible scores ranging from 0 to 100. The average <a href=\"https:\/\/measuringu.com\/product\/suspack\/\">SUS score from over 500 products<\/a> (including websites and business software) is 68 (a grade of C on the <a href=\"https:\/\/measuringu.com\/interpret-sus-score\/\">Sauro-Lewis curved grading scale<\/a>). Google Meet had significantly higher SUS scores than the other products (based on inspection of confidence intervals). The NPS has higher volatility than the SUS because the <a href=\"https:\/\/measuringu.com\/mean-nps\/\">NPS uses two paired proportions<\/a> (inherently high variability) versus the mean of 10 items (inherently lower variability).<\/p>\n<h2>Perceived Usefulness and Ease (UX-Lite)<\/h2>\n<p>Research on the <a href=\"https:\/\/en.wikipedia.org\/wiki\/Technology_acceptance_model\">Technology Acceptance Model<\/a> (TAM) in the mid to late 1980s revealed the joint importance of measuring both ease of use and usefulness as key drivers of the intention to use a product, which is in turn a <a href=\"https:\/\/measuringu.com\/article\/effect-of-perceived-ease-of-use-and-usefulness-on-ux-and-behavioral-outcomes\/\">significant driver of actual use<\/a>.<\/p>\n<p>We use the two-item <a href=\"https:\/\/measuringu.com\/how-to-score-and-interpret-the-ux-lite\/\">UX-Lite<\/a> as a mini-TAM because it has one item to rate perceived ease of use (\u201cThis product is easy to use\u201d) and one to rate usefulness (\u201cThis product\u2019s features meet my needs\u201d). UX researchers can use it in aggregate as a measure of acceptance or, even more broadly, of satisfaction or product quality.<\/p>\n<p>As shown in Figure 4, it\u2019s also possible to analyze its ease and usefulness components separately. WebEx had the lowest UX-Lite (71.8). Relative to the group means for ease (77.5) and usefulness (74), Google Meet was above average for both, and WebEx was below average for both.<\/p>\n<p>For users who do not need more advanced functionality (e.g., break-out rooms, webinar presentations), the reduced functionality of Google Meet seems to have increased its ease ratings without affecting its usefulness ratings. That might seem counterintuitive at first, but Google seems to have selected a set of functions that, consistent with the wording of the UX-Lite\u2019s usefulness item, meets those users\u2019 needs. For example, there is relatively little difference in the Zoom and Google Meet usefulness ratings, but a large difference in their ease ratings.<\/p>\n<h2>Analysis of Verbatim Comments<\/h2>\n<p>To dig into the \u201cwhy\u201d behind the current numbers, we asked participants to name one thing they disliked about the product they rated. For WebEx, the top improvement area was usability, and for Google Meet, it was audio\/video quality. Respondents also noted that GoToMeeting and WebEx had outdated user interfaces.<\/p>\n<p>Several respondents favorably compared their Google Meet experience with other meeting software, in particular citing its relative ease of use and integration with other Google services:<\/p>\n<p style=\"padding-left: 25px\"><em>\u201cI like its simplicity compared to Zoom.\u201d<\/em><\/p>\n<p style=\"padding-left: 25px\"><em>\u201cCompared to Zoom or Microsoft Teams, I feel like Google Meet is easier to send links and share information with other people. It is easy to get people to join a call and be able to set up video, backgrounds, and settings without a lot of UI things to click.\u201d<\/em><\/p>\n<p style=\"padding-left: 25px\"><em>\u201cI can enter and join meetings a lot more quickly than I generally can using other platforms. The loading time is less than Microsoft Teams or Zoom, in my experience.\u201d<\/em><\/p>\n<p style=\"padding-left: 25px\"><em>\u201cWhat I like about Google Meet is its integration with other Google services, like Google Calendar and Gmail. It makes scheduling and joining meetings super seamless.\u201d<\/em><\/p>\n<h2>Does Tech Savviness Drive Differences in Scores?<\/h2>\n<p>How do we know that the high scores for Google and lower scores for Webex aren\u2019t just due to differences in the tech savviness of the users? To find out, we looked at tech-savviness scores using our <a href=\"https:\/\/measuringu.com\/how-to-use-the-tac\/\">TAC-10 measure<\/a>. The TAC-10 (Technical Activity Checklist with ten items) is a reliable (consistent) and valid (predictive) measure of tech savviness. The TAC-10 score for a person is the number of items selected from the checklist.<\/p>\n<p>Across the five groups of participants (Figure 5), the range of mean TAC-10 scores was from 5.6 for WebEx users to 6.7 for Microsoft Teams users; a nonsignificant difference of 1.1. The other first-time product for this report was Microsoft Teams, which had the lowest NPS score and was next-to-last for SUS and UX-Lite.<\/p>\n<p><strong>NPS scores for the products measured in 2022 improved in 2025.<\/strong> Consistent with its history, Zoom\u2019s NPS scores were relatively stable but still rose 10 points. WebEx and GoToMeeting significantly improved from their historic lows in 2022, rising 23 points for WebEx and 34 points for GoToMeeting.<\/p>\n<p><strong>Perceived usability ratings for the products ranged from average to above average.<\/strong> Using the Sauro-Lewis curved grading scale for the SUS, Google Meet\u2019s grade was A, Zoom\u2019s was B, GoToMeeting and Microsoft Teams\u2019 was B\u2212, and WebEx\u2019s was C+.<\/p>\n<p><strong>Google Meet had the best UX-Lite ratings.<\/strong> Google Meet had the highest overall UX-Lite rating and was the only product above the group average for both ease and usefulness. WebEx was below average for both and had the lowest overall UX-Lite rating.<\/p>\n<p><strong>Reported issues included performance, usability, and dated UIs<\/strong>. Respondents reported issues with performance and usability for all five products.
