1. Use the Magnifying Glass (Recent Transactions)<\/h3>\n

The fastest way to locate a transaction you just entered is by clicking the magnifying glass icon<\/strong> in the top-right corner. This will show a dropdown of your most recent transactions<\/strong>.<\/p>\n

Click on any item in the list to view or edit the transaction immediately.<\/p>\n

2. Search Using Filters<\/h3>\n

Click on the Search icon<\/strong>, then go to “Advanced Search”<\/strong> (or use the filters) to enter criteria such as:<\/p>\n

    Transaction type<\/strong> (e.g., invoice, expense, bill)<\/p>\n<\/li>\n

  • \n

    Date range<\/strong><\/p>\n<\/li>\n

  • \n

    Amount<\/strong><\/p>\n<\/li>\n

    Reference number<\/strong><\/p>\n<\/li>\n<\/ul>\n

    This method is especially helpful if you only remember partial details.<\/p>\n

    3. Use the Audit Log<\/h3>\n

    If you want to find transactions that you, for example, entered today but relate to a previous period, you can use Audit Log<\/strong> .<\/p>\n

    Go to: Reports<\/strong> > Search for \u201cAudit Log\u201d<\/strong><\/p>\n

    The audit log provides a detailed record of every transaction added, changed, or deleted<\/strong>, including:<\/p>\n

      Who made the change (if you have multiple users)<\/p>\n<\/li>\n

    • \n

      The type of event (edit, delete, etc.)<\/p>\n<\/li>\n

    • \n

      When it happened<\/p>\n<\/li>\n<\/ul>\n

      You can also filter<\/strong> by user, date range, or event type.<\/p>\n

      Click \u201cView\u201d<\/strong> next to any transaction for a complete history, including how many times it\u2019s been changed.<\/p>\n

      4. Look Through Sales or Expenses Sections<\/h3>\n

      Another simple option, as mentioned above is to navigate to your Sales<\/strong> or Expenses<\/strong> tabs, then use filters to narrow down your search by customer, vendor, date, or status. Alternatively, you can go to the banking download and filter your categorized transactions. <\/p>\n

      5. Run Reports<\/h3>\n

      Finally, if you know the account or category used, pull up a Profit and Loss Report<\/strong> or Balance Sheet<\/strong> to see if the transaction appears there.<\/p>\n

      Since every transaction entered in QBO affects at least one of these reports, this can be a reliable tool for locating missing entries.<\/p>\n

      QuickBooks Online offers multiple ways to search and locate transactions. Since finding a lost transaction can be frustrating, it can be helpful to be able to do it quickly. <\/p>\n<\/div>\n
