Doing access control <em>right<\/em> from a user interface AND user experience perspective is really difficult, and GTM is no exception. Nevertheless, there are several levels of user control that you can modify from account and container settings, and it\u2019s useful to familiarize with these so that managing a big, sprawling account hierarchy would be just a bit easier.<\/p>\n<p>                <span class=\"simmer\"><br \/>\n  <span class=\"close\">X<\/span><\/p>\n<p>\n    <span class=\"fa fa-md fa-bell\"\/><br \/>\n    <strong>The Simmer Newsletter<\/strong>\n  <\/p>\n<p>\n    Subscribe to the <a href=\"https:\/\/www.simoahava.com\/newsletter\/\">Simmer newsletter<\/a> to get the latest news and content from Simo Ahava into your email inbox!\n  <\/p>\n<p>  <\/span><\/p>\n<h2 id=\"tip-57-user-permissions-and-access-control-levels\">Tip 57: User Permissions And Access Control Levels<\/h2>\n<div style=\"aspect-ratio: 960 \/ 540;\" class=\"figure nocaption\">\n<p>    <a href=\"https:\/\/www.simoahava.com\/images\/2017\/04\/google-tag-manager-user-permissions.jpg\" title=\"Google Tag Manager user permissions\"><\/p>\n<p>    <img decoding=\"async\" class=\"fig-img\" height=\"540\" width=\"960\" loading=\"lazy\" src=\"https:\/\/www.simoahava.com\/images\/2017\/04\/google-tag-manager-user-permissions.jpg#ZgotmplZ\" alt=\"Google Tag Manager user permissions\"\/><\/p>\n<p>    <\/a><\/p>\n<\/div>\n<p>Since the concept of an <strong>account<\/strong> in Google Tag Manager is not as important as, say, in Google Analytics, the access levels for accounts come in two sorts:<\/p>\n<ul>\n<li>\n<p><strong>Admin<\/strong> access lets the user modify other users\u2019 permission levels, and Admin level has always at least Read access to each container.<\/p>\n<\/li>\n<li>\n<p><strong>User<\/strong> access prevents the user from modifying other users\u2019 permission levels, and they can also have the No Access level for containers.<\/p>\n<\/li>\n<\/ul>\n<p>Note that there is no <strong>owner<\/strong> in Google Tag Manager. Admin access can be freely distributed, and it can be revoked, even from the user who created the account.<\/p>\n<p>On <strong>Container<\/strong> level, the available permission levels are:<\/p>\n<ul>\n<li>\n<p><strong>No Access<\/strong> means the user will not even see this container in the list of containers in the UI or via <a href=\"https:\/\/www.simoahava.com\/analytics\/google-tag-manager-api-v2-released\/\">API<\/a> queries.<\/p>\n<\/li>\n<li>\n<p><strong>Read<\/strong> gives the user view-only access to the container. This includes browsing workspace drafts, opening tags, triggers, and variables, but not being able to edit them in any way. One feature of <strong>Read<\/strong> access that is often ignored is that <strong>users can Preview container versions<\/strong> by going to the Versions page and choosing Preview from the version action menu (see screenshot below). Note that users can\u2019t preview workspace drafts.<\/p>\n<\/li>\n<li>\n<p><strong>Edit<\/strong> access lets users create workspaces and edit assets within those workspaces, but they cannot <strong>Create Versions<\/strong> or <strong>Publish<\/strong> those workspaces. Note that <strong>Edit<\/strong> access CAN Preview workspace drafts.<\/p>\n<\/li>\n<li>\n<p><strong>Approve<\/strong> is almost the same as <strong>Edit<\/strong> except the user has now permission to Create Versions out of workspace drafts. They still can\u2019t Publish anything, though.<\/p>\n<\/li>\n<li>\n<p><strong>Publish<\/strong> is the highest access level for containers. It gives you full access to the container, including ability to create and modify <a href=\"https:\/\/www.simoahava.com\/analytics\/better-qa-with-google-tag-manager-environments\/\">Environments<\/a>, and even to delete containers.<\/p>\n<\/li>\n<\/ul>\n<div style=\"aspect-ratio: 1316 \/ 776;\" class=\"figure nocaption\">\n<p>    <a href=\"https:\/\/www.simoahava.com\/images\/2017\/04\/read-access-preview-version.jpg\" title=\"Read Access Preview Version\"><\/p>\n<p>    <img decoding=\"async\" class=\"fig-img\" height=\"776\" width=\"1316\" loading=\"lazy\" src=\"https:\/\/www.simoahava.com\/images\/2017\/04\/read-access-preview-version.jpg#ZgotmplZ\" alt=\"Read Access Preview Version\"\/><\/p>\n<p>    <\/a><\/p>\n<\/div>\n<p>With these access control levels, you can distribute access within a single container pretty granularly. However, there\u2019s a bunch of things many users would still love to see with permission distribution, most notably involving <a href=\"https:\/\/www.simoahava.com\/analytics\/folders-and-syntax-highlighting-in-google-tag-manager\/\">folders<\/a>. Also, a nice, juicy approval queue would be great to have, so that users with limited permissions could still submit a workspace draft for approval programmatically, rather than having to sort out the publish workflow in person (I know, social interaction, YUCH!).<\/p>\n<h3 id=\"bonus-ive-lost-account-access--i-dont-know-who-has-access-to-gtm-xxxxx---what-do-i-do\">BONUS: I\u2019ve lost account access \/ I don\u2019t know who has access to GTM-XXXXX &#8211; what do I do?<\/h3>\n<p>This must be one of the most frequently asked questions in the <a href=\"https:\/\/productforums.google.com\/forum\/#!forum\/tag-manager\">Product Forums<\/a>. Typically it\u2019s a case of a GTM container being deployed on the site, but no one has access to it, nor does anyone know WHO is the current admin. (Folks, this is what lack of governance does. Learn from it!).<\/p>\n<p>Anyway, I\u2019m going to quote Googler Andrew Lanzone, who had the perfect answer for what to do in case you need to retrieve access information for any given container or account.<\/p>\n<blockquote>\n<p>The easiest option is to track down the person with admin rights on the account. If you can, contact a user who has admin rights on the GTM account and ask them to add you to the account (as admin as well). If you have access to the email accounts of the departed employees, you can try logging in with those accounts and adding yourself as an admin.<\/p>\n<p>If that is not possible, file a feedback request (choose \u201cSend feedback\u201d from the \u2026 menu in the GTM header) and we can try and contact the account admins on your behalf.<\/p>\n<p>In general, we recommend:<\/p>\n<ul>\n<li>\n<p>You should have multiple admins on your account.<\/p>\n<\/li>\n<li>\n<p>At least one email address on the account should be monitored on a daily basis if possible.<\/p>\n<\/li>\n<li>\n<p>You should have a handoff plan for when people leave the company and\/or end business relationships.<\/p>\n<\/li>\n<\/ul>\n<\/blockquote>\n<p>Here\u2019s the <a href=\"https:\/\/productforums.google.com\/d\/msg\/tag-manager\/Y4g-iQX1A-8\/-6d0BZHuAwAJ\">source<\/a> for Andrew\u2019s tips.<\/p>\n<\/p><\/div>\n\n","protected":false},"excerpt":{"rendered":"<p>In this #GTMTips article, we\u2019ll take a look at user permissions and access control levels that Google Tag Manager lets you set today.
